Summary
This article provides information about the Gateway reports that you need to submit, and when they are due. It includes where to find the reporting templates, and guidance on how to complete them.
Note: Reports are also called reporting templates or data collection spreadsheets.
What reports are required for Gateway funding?
TEC monitors Gateway funding that has been allocated to schools. To comply with their funding agreements, schools are required to submit three reports each year.
A. Two Enrolments Actuals reports are required each year (mid-year and end-of year). These provide TEC with information on your Gateway placements for the year.
1. Mid-year Actuals report:
- This report captures all your Gateway placements who have started in Terms 1 and 2 (up until the last day of the Term 2 holidays).
- The mid-year Actuals report is due by 5pm on the first Friday of Term 3.
- The main purpose of the mid-year report is to understand whether a school is likely to use all the funding allocated for the year.
- If it looks like your school is not likely to use all the funding allocated, we may engage with you and may recover the under-delivery.
2. End-of-year Actuals report:
- This report captures all your Gateway placements for the year, including those that were included in the mid-year report.
- The end-of-year Actuals report is due by 5pm on 20 December.
B. One Unit Standard report is required each year.
- This report relates to the credit achievements of your school's Gateway placements.
- The Unit Standard report is due by the last Friday in February of the following year (eg, February 2026 for the credit achievements of the placements in 2025).
How do I find the reporting templates?
The reporting templates will be uploaded to your school's DXP Ngā Kete. We will email to let you know when they've been uploaded.

How do I complete and submit the report?

What do I do if the report status advises 'Submitted failed validation'?
This means the validation process has found some errors in the report. This is not unusual for most users. However, these errors will need to be corrected before you resubmit the report.

a. Instructions on how to correct errors are available in the DXP Ngā Kete User Guides:
- Open the 'Data Submissions' dropdown.
- Click on 'Gateway'.
- Scroll down to the 'View errors and edit data' section.

How can I be sure I've submitted the report successfully?
If the report has been submitted successfully, the status column of the report will say 'Submitted'.
Do I need to let you know my report has been submitted successfully?
If you submitted the report by the due date, you do not need to let us know.
