This article provides information on the outcome fields in the Gateway Actuals report, including how to report learner outcomes in the mid-year and end-of year reports, and answers to frequently asked questions.
The learner outcome fields
The learner outcome fields in the Actuals report are for schools to advise us what the learner was doing three months after their Gateway placement ended.
- The 'Outcomes - Employment' field informs us what type of employment the learner is doing three months after ending their placement.
- The 'Outcomes - Educational' field informs us what type of education the learner is doing three months after ending their placement.
What are the dropdown options in the outcome fields?
The dropdown options are:
Outcomes - Employment
- Apprenticeship/industry training
- Full-Time Employment
- Part-Time Employment
- Not in employment, education or training (NEET)
- Not known
- Not applicable
Outcomes - Educational
- School – Gateway (use this option if the learner is still at school and still doing Gateway)
- School – full-time (use this option if the learner is still at school but no longer doing Gateway)
- University
- Polytechnic
- Private training establishment
- Not known
- Not applicable (use this option if the learner not in education)
How to report learner outcomes
Mid-year report:
For the mid-year report, the employment and education outcomes will generally be 'Not applicable'. This is not a compulsory field for Terms 1 and 2 and can be left blank.
End-of-year report:
For the end-of-year report, choose an option from the dropdown list for each outcome column: 'Outcomes – Employment' and 'Outcomes – Education', ie, the cells cannot be left blank.
Remember to also include the learner outcomes for any of the placements copied and pasted from the mid-year Actuals report.
Before submitting the end-of-year report, check it includes all Gateway placements that your school has delivered through Terms 1, 2, 3 and 4, and that the 'Placement end date' and 'Outcome' columns are completed.
FAQs on reporting learner outcomes
Q. How do we report an outcome for a learner whose placement end date is less than three months from the 20 December report due date?
For learners whose placements finished less than three months before 20 December (the end-of-year report due date):
- If it is known what the learner will be doing when three months has passed from ending their placement, the relevant option can be selected.
- If it is not known what the learner will be doing, choose the 'Not known' option then update the outcome once it is known (see the next FAQ for details).
Q. Should we update the learner outcomes that are 'Not known' or have changed since the report was submitted?
Yes, please update the 'Not known' entries and/or any changes to learner outcomes you have submitted.
Please contact us to request that we set the report to 'Revise', then you can update the data and resubmit the report.

This can be done at any time up to the end of March the year following delivery.
Q. Do we need to keep contact details for learner outcomes?
Yes, schools must keep contact details for all employment (related to the Gateway placement) and further education/training outcomes submitted to us.
This is required under the funding conditions so we can verify the outcomes if required.
Q. Can I change the data once the reports have been submitted?
Mid-year: Data in the mid-year Actuals report can be corrected in the end-of-year Actuals report. The data provided through the end-of-year Actuals report will be the final record of Gateway provision for the year.
End-of-year: If any mistakes are made in the end-of-year Actuals report, it is possible to resubmit the data after gaining TEC approval (and depending on the timing).
