This article provides information about the Course Register file (REGT), including when it should be submitted, and when and how to make changes for the following year.
The Course Register file (REGT)
The REGT file contains records of all your courses with enrolled students. For most providers, the REGT file is extracted from your student management system (SMS).
There are various fields that need to be included in the file. For more information, see the DXP Ngā Kete user guides: Registers > Courses > System steps.
Note:
Every unique course in your 'Course Enrolment' file should appear only once in your 'Course Register' file.
The course codes must be exactly the same in both files.
When do we submit our Course Register (REGT) file?
Submit your REGT as part of your IND/SDR, and when you have course changes or add new courses.
a. As part of your IND/SDR:
- The REGT file needs to be submitted as part of your Indicative Data Collection (IND) in March, and as part of your Single Data Return (SDR) in April, August and December.
- When the REGT file is submitted as part of an IND or SDR, it must match the information we have in our DXP Ngā Kete (TEC) Course Register.
b. When you have course changes or add new courses.
- A REGT can be processed on its own at any time of the year when you have course changes or add new courses. This keeps the information in the Course Register and DXP Ngā Kete aligned.
- Any changes to the REGT will create 'pending course change requests' in DXP Ngā Kete - these need to be reviewed and approved by TEC before you can proceed with an SDR submission.
- We recommend you submit course changes as early as possible, so they can be resolved by TEC without causing delays when your SDR is due.
- Note: If you have a REGT file with pending course changes, you cannot submit a subsequent REGT file until these are processed in DXP Ngā Kete.
- If you submit a REGT file on its own, once it is processed successfully it will shown as 'Processed' in the 'Status' column of the SDR Validation Summary page.
Updating your Course Register for the following year - FAQs
When can I update the Course Register with next year's information? Can I update it before I submit this year's December SDR?
You can update and submit your REGT file once the following year's fee regulation policy (including the Annual Maximum Fee Movement [AMFM]) is confirmed by the Ministry of Education (MoE).
This means that the following year's courses can be updated in the REGT file and submitted to DXP Ngā Kete before you need to submit your December SDR.
Note: We recommend you process the REGT file as early as possible, to avoid any delays when your December SDR is due.
How do I update DXP Ngā Kete with the new course fees for the following year?
To update the course fees for the following year in your DXP Ngā Kete Course Register:
1. Extract your REGT file from your student management system (SMS).
2. Upload the REGT file onto DXP Ngā Kete, via the 'SDR Validation' page.
Note: Once the courses in the REGT file have been approved, continue to use that version of the file as the basis for your courses when submitting SDRs.
Why are my courses showing as 'closed'?
Courses show as 'open' until 31 December in the year they are delivered. They show as closed once the delivery year is over (ie, from 1 January the year following delivery).
You can still submit your REGT file when the courses show as closed.
